What Happens After You Send an RFQ to HeatEx Direct

Finding the right Chinese heat exchanger manufacturer from abroad is often slower than it should be. Emails go to a general inbox, the first contact cannot answer technical questions, language and time zones add days to every reply, and a buyer who writes to ten factories may get ten sales follow-ups but few useful answers. Many buyers also hesitate to send their contact details to factories they do not know yet.

HeatEx Direct exists to clear these early obstacles. This article explains, step by step, what happens to a request after you send it through the RFQ form. The short version is on the quote request service page.

1. You Send One Request

You describe the project once: the product type, the application, the operating conditions, the quantity and when you need it. If you know the application but not all the design data, use the quick mode of the form. If you already have operating data, materials and connection standards, use the detailed mode. Drawings, datasheets and photos can be attached as images, PDF, Word, Excel or CSV files of up to 50 MB each. Questions you are still unsure about belong in the request too.

No account is needed. We ask you to verify your email address with a code, so that we know a real buyer is behind the request.

2. We Check That the Request Is Complete

We read every request. If a key parameter is missing, we ask for it before contacting any manufacturer, because a manufacturer cannot quote an exchanger without, for example, the flow rates or the design pressure. Once the email is verified and the information is complete, we review the request within 2 business days.

3. We Screen Manufacturers That Can Meet the Requirement

Based on the information you give, we look for Chinese manufacturers and products that can meet the requirement: the right type of heat exchanger, the right materials and pressure range, the standards you need, and experience in your industry. A high-pressure gas cooler that needs a printed circuit heat exchanger and an HVAC substation that needs a gasketed plate unit go to different factories. The manufacturers on this site are a starting point, and the profiles show what each one makes.

How many manufacturers we contact depends on the request. A complete request sent from a company email is usually passed to 3 to 5 suitable manufacturers. A request from a personal email usually starts with up to 2. If you found us through a manufacturer's page, you can choose to send the request to that manufacturer first.

4. We Contact the Responsible Person Directly

We do not send your request to a general inbox. We contact the person responsible for this kind of project at each manufacturer, give them the information they need to assess it, and wait for their reply. Because we have already checked the request, the manufacturer receives something it can work with, and you avoid the early rounds of basic questions.

5. Technical Questions Reach the Experts

Many projects raise questions before a price makes sense: can this duty use a plate heat exchanger, which material suits this fluid, can the unit be built to a given code? We take these questions to the manufacturer's engineers and bring back their answers. The path from your question to someone who can answer it is short, which is where much of the time in early contact is usually lost.

The engineers' answers remain the manufacturer's technical position. Before ordering, confirm the design, drawings and certificates in writing, as described in how to verify a Chinese heat exchanger manufacturer.

6. Your Contact Details Stay Protected

When you submit the request, you choose how much the manufacturers see:

ModeWhat manufacturers see
Anonymous modeThe project, but not your email. We handle the communication.
Public modeThe project and your email, so they can contact you directly.

We also do not ask for more about you than the request needs. You do not need an account, and you can decide later, once a manufacturer and its answers look right, when to share your contact details with them.

7. What We Do Not Promise

Sending a request does not create a contract, and we cannot guarantee that a manufacturer will quote, at a given price or by a given date. We do not certify every claim a manufacturer makes. What we do is make sure your request reaches suitable manufacturers in a form they can act on, and that their answers reach you.

8. How to Get a Faster, Better Answer

What This Means for Buyers

Instead of writing to many factories and waiting for answers that may not come, you send one request. We check it, find the Chinese manufacturers whose products can meet it, put you in touch with the people who can answer, and keep your contact details private until you decide otherwise. To start, open the RFQ form.
